Privacy Policy
This Privacy Policy (hereinafter referred to as the “Policy”) defines the handling of personal information (information related to customers as defined in the Act on the Protection of Personal Information, Law No. 57 of 2003, hereinafter referred to as the “Personal Information Protection Act”) acquired by immedio Inc. (hereinafter referred to as the “Company”; please refer to this link for the address and name of the representative) from individuals, including users of services operated by the Company (including websites and applications, hereinafter referred to as the “Service”), business partners, employees of corporations, job applicants, and shareholders (hereinafter referred to as “Customers”).
Article 1 (Personal Information Collected)
The personal information collected by the Company varies depending on the collection method, as follows. Please note that personal information entrusted by service users is defined separately in the “immedio Privacy Policy.”
(1) Information provided directly by Customers
The Company may collect information directly from Customers when registering information during the use of the Service. This information includes, for example:

(2) Information provided by third parties
In conducting its business, including the operation of the Service, the Company may acquire Customers’ personal information from third parties. For example, if a Customer permits the connection between the Service and an external service, the Company will obtain the following information from the external service based on the content agreed upon at the time of permission:

- Other information that the Customer has allowed to be disclosed to partners according to the privacy settings of the external service
(3) Information automatically collected when Customers use the Service
When Customers use or browse the Service, information may be automatically sent to the Company through internet technology. This information includes, for example:

- Other information related to the use of the Service (including usage status, settings, and content viewing history)
Article 2 (Purpose of Using Personal Information)
The Company will appropriately use the acquired personal information within the scope of the following purposes. If the Company changes the purpose of use, it will not exceed the scope reasonably considered to be related to the original purpose of use, and will notify or announce to users the changed purpose of use.

- To provide the Service (including obtaining calendar information (free time) to provide scheduling services, accepting registration for the Service, identity verification, user authentication, recording user settings, maintenance of the Service, security maintenance, etc.)
- To bill Service users and exercise the Company’s rights
- To guide Customers on the usage status and operational status of the Service
- To guide about the Service
- To improve and develop the Service and new services
- To respond to inquiries
- To conduct surveys, monitoring, and interviews with Customers
- To provide customized content to Customers
- To send notifications about the Service or the Company to Customers
- For marketing and campaign distribution, display, effectiveness measurement, etc.
- To create statistical data on the usage status of the Service in a form that cannot identify specific individuals
- For judgment of transactions with the Company (credit judgment) and post-transaction management
- To prevent and investigate acts prohibited by the terms of use of the Service or acts that may pose such a risk, and to deal with them appropriately
- For other matters incidental to or related to the above items
(2) Purpose of using personal information of business partners
- For necessary business communications, contract performance, business discussions, etc.
- For management of business partner information
(3) Purpose of using personal information of job applicants
- To provide information, contact, and notify job applicants
- For recruitment selection (including reference checks and other verification procedures)
- To support the acquisition of necessary entry visas and work permits
- For purposes incidental to recruitment activities, such as statistical use for future recruitment plans
(4) Purpose of using personal information of shareholders
- For management of shareholders, responding to the exercise of rights under the law, and the exercise of rights or fulfillment of obligations by the Company
- To provide information and contact shareholders and investors
- For surveys necessary for the promotion and improvement of public relations and IR activities
Article 3 (Provision of Personal Information to Third Parties)
The Company will not provide personal information entrusted to us to third parties, except in the following cases:
- When individual consent for the above provision is obtained from the Customer
- When it falls under circumstances permitted by the Personal Information Protection Act
- When providing all or part of personal information to the Company’s business contractors within the scope necessary to achieve the purposes of use listed in Article 2. In this case, the Company will provide information after exercising appropriate supervision over business contractors regarding information management.
The Company will not provide personal information to third parties located overseas except when consent is obtained from the Customer or in cases permitted by the Personal Information Protection Act.
Article 4 (Provision of Personal-Related Information to Third Parties)
The Company may provide personal-related information (as defined in the Personal Information Protection Act, including browsing history, location information, and Cookies that cannot identify specific individuals) to third parties such as advertising platforms.
When providing such information, if the Company anticipates that the third party will combine the personal-related information with information that identifies the Customer and acquire it as personal data (as defined in the Personal Information Protection Act), the Company will fulfill the obligations required by the Personal Information Protection Act before providing such information.
Please note that for Customers who agree to this Policy and use the Service, such agreement will also constitute consent for the above third parties to acquire personal-related information as personal data.
Article 5 (Method for Disclosure, Correction, Addition, Deletion, Suspension of Use, Suspension of Provision to Third Parties, and Notification of Purpose of Use from the Subject)
In accordance with the Personal Information Protection Act, Customers may request disclosure, correction, addition, deletion, suspension of use, erasure, suspension of provision to third parties, and notification of the purpose of use of their personal data. For requests for disclosure, correction, addition, deletion, suspension of use, erasure, suspension of provision to third parties, and notification of purpose of use, as well as opinions, questions, complaints, and other inquiries regarding the handling of personal information, please contact the following email address. When disclosing personal information, please select either electronic records or written method, and submit the Company’s designated identity verification documents. Article 6 (Security Measures)
The Company strictly manages personal information and takes necessary measures such as maintaining security systems, establishing management systems, and thoroughly educating employees to prevent unauthorized access, loss, damage, falsification, and leakage of personal information, implementing security measures and strictly managing personal information.
Article 7 (Supervision of Employees and Contractors)
The Company regularly conducts internal training on security and protection of personal information to raise and promote employees’ awareness of personal information protection. In addition, the Company may outsource all or part of the handling of personal information in various operations. In such cases, the Company selects entities that are recognized to handle personal information appropriately, properly stipulates matters related to the handling of personal information such as security measures, confidentiality, conditions for subcontracting in outsourcing contracts, and implements necessary and appropriate supervision.
Article 8 (Security Measures)
The Company takes reasonable preventive measures to protect acquired personal information and provides protection both online and offline. We take utmost care in handling personal information using technologies such as firewalls, intrusion detection, and SSL, and only allow access to those who have been granted the authority necessary for business purposes.
Article 9 (Use Beyond the Purpose)
The Company will not use customers’ personal information beyond the scope of the purposes of use stated in the Privacy Policy at the time of acquisition without the customers’ consent. In addition, data obtained from calendar tools will not be used for purposes other than scheduling (such as AI/machine learning training). However, this does not apply to cases that fall under circumstances permitted by the Personal Information Protection Act.
Article 10 (Procedure for Changing Privacy Policy)
The Company will change this Policy as necessary, and when making changes that legally require customer consent, the Company will announce the content and effective date of the changed Privacy Policy through display on the Company’s website or other appropriate methods, or notify customers.
